Then you sit down with a paper time card, a calculator, and seven rows of clock-in and clock-out times, and the numbers refuse to behave. A shift that "felt like eight hours" comes out as 7.45 on the calculator. A 22:00 start that ends at 06:00 turns into a negative number. By Friday your weekly total is off by twenty minutes and you have no idea where they went.
The problem is almost never you. It's that clock times live in base 60 and payroll lives in base 10, and the conversion between them is where minutes quietly disappear. The one formula that matters
Every day on a time card reduces to a single line:
hours = (clock out − clock in) − break
That's it. Clock-out minus clock-in gives the span you were present. Subtract the unpaid break, and you have the time you actually worked. Stack seven of those daily figures and you have a weekly total.
The trap is that you cannot subtract clock times the way you subtract plain decimals. 17:00 minus 8:15 is not "17.00 minus 8.15 equals 8.85." The minutes column rolls over at 60, not 100. If you treat :15 and :30 as fractions of a hundred, every figure drifts, and the drift compounds across the week.
The safe method is to convert everything to minutes first, do the arithmetic, then convert back. 8:15 is 8 × 60 + 15 = 495 minutes after midnight. 17:00 is 1020 minutes. The span is 1020 − 495 = 525 minutes. Subtract a 45-minute break and you're left with 480 minutes worked. Now divide by 60: 480 ÷ 60 = 8.00 hours.
A worked example, start to finish
Take a real day: clocked in at 8:15, clocked out at 17:00, with a 45-minute unpaid lunch.
- Clock-in 8:15 → 495 minutes
- Clock-out 17:00 → 1020 minutes
- Span: 1020 − 495 = 525 minutes
- Minus the 45-minute break: 525 − 45 = 480 minutes
- Convert to hours: 480 ÷ 60 = 8.00 hours
A clean eight hours. But notice how easy it is to fumble this by hand. If you skip the minutes conversion and reason "8:15 to 17:00 is about 8 hours 45 minutes, minus 45 is 8 hours" you happen to land in the right place — but only because the break and the leftover minutes cancelled. Change the break to 30 minutes and the seat-of-the-pants approach falls apart, while the minutes method still gives 525 − 30 = 495 ÷ 60 = 8.25 hours, exactly.

- 45 minutes = 45 ÷ 60 = 0.75 hours
When someone writes "8 hours 30 minutes" into a payroll sheet as 8.30, they've underpaid (or overbilled) by twelve minutes a day. Across a five-day week that's an hour gone. Across a year it's real money. Payroll systems and invoices expect decimal hours — 8.50, not 8h 30m — so the conversion isn't optional, it's the format the whole downstream pipeline runs on.
I learned this the slow way. Early on I kept a freelance time log in "8h 20m" notation and then typed those straight into an invoice as 8.20 per day, week after week. A client's accountant eventually flagged it — politely — and I realized I'd been quietly shorting myself roughly seven minutes every single day because 20 minutes is 0.33 hours, not 0.20. The overnight shift that breaks naive subtraction
There's a second place the formula bites: shifts that cross midnight. A security guard clocks in at 22:00 and out at 06:00. The fix is to detect the crossing: when the clock-out reads earlier than the clock-in, add 24 hours (1440 minutes) to the end before subtracting. So 06:00 becomes 06:00 + 24:00 = 30:00 worth of minutes, and 30:00 − 22:00 = 8 hours. A correct time card handles this automatically — type the times as they read on the timesheet, in-then-out, and don't try to "fix" the order yourself.
Where overtime enters the picture
Once the weekly total is solid, pay splits at the overtime line. Under the standard US weekly rule, the first 40 hours are regular pay and everything past 40 is paid at 1.5×. If your week totals 46 hours, that's 40 regular plus 6 at time-and-a-half.
Two cautions. First, this is a weekly line, not a daily one — some regions (California, parts of the EU) trigger overtime after 8 hours in a single day, which a 40-hour weekly tool won't capture. A quick checklist before you trust the total
- Did you subtract every unpaid break? A 09:00–17:30 day is 8 hours only after a 30-minute lunch comes out — otherwise it reads 8.5 and inflates every figure below it.
- Did you convert minutes by dividing by 60, not reading them as decimals? 45 minutes is 0.75, never 0.45.
- Did any shift cross midnight? If clock-out is earlier than clock-in, the span needs +24 hours.
- Is your final number in decimal hours before it goes into payroll or an invoice? 8.50, not 8h 30m.
Get those four right and the rest is addition. The reason a calculator helps isn't that the math is hard — it's that base-60 minutes and base-10 pay don't mix, and the conversion is exactly where a tired Friday brain drops twenty minutes.
